Managing an independent hotel without a standardized Profit and Loss (P&L) statement is like steering a ship in heavy fog. While bank balances show current liquidity, they do not reveal whether your restaurant is subsidizing your room operations, or if rising linen laundry expenses are eating away at your RevPAR gains.
What Is a Hotel P&L Statement?
Unlike generic retail businesses, hotels follow the Uniform System of Accounts for the Lodging Industry (USALI). This framework divides hotel finances into departmental revenues, departmental direct expenses, undistributed operating expenses, and fixed charges.
1. Operating Revenue Streams
- Rooms Revenue: Gross tariff collected from bookings minus OTA commission cuts.
- Food & Beverage: In-room dining, restaurant POS sales, banquet events, and minibars.
- Other Operated Departments: Laundry, airport transfers, spa, and recreational ticket sales.
2. Departmental Expenses
Costs directly attributed to service delivery. For rooms, this includes guest amenities, linen laundering, cleaning chemicals, and front office wages. For F&B, it tracks raw material food cost (typically 28%–34%) and kitchen staff salaries.
3. Gross Operating Profit (GOP)
GOP = Total Operating Revenue − (Departmental Expenses + Undistributed Operating Expenses). GOP measures operational management effectiveness before interest, depreciation, and corporate taxes. Healthy independent Indian hotels aim for a GOP margin between 35% and 48%.
How HotelFlexi Automates P&L Tracking
Traditional hotels spend days reconciling manual receipt books and Excel sheets. With HotelFlexi’s automated accounting engine, every room folio settlement, restaurant KOT bill, and vendor payout maps directly into standardized ledgers with Tally XML export support.
